Simplifying Webinar Registration for FLC

Webinars can be an important part of how associations and member-driven organizations educate, engage, and connect with their communities. But behind every webinar is a registration process that has to work smoothly across multiple systems.

When those systems are disconnected, even a relatively simple process can create extra work for staff.

That was the challenge facing the Federal Laboratory Consortium for Technology Transfer (FLC) as the organization prepared to use MemberSuite as its association management system. FLC needed a way to connect webinar registrations in MemberSuite with its GoToWebinar environment, replacing its existing registration process and creating a more streamlined workflow.

Bringing Webinar Registration Into MemberSuite

Rather than managing webinar registration through a separate process, FLC wanted MemberSuite to serve as the starting point.

Under the new workflow, FLC will create its free webinar events in MemberSuite while maintaining the corresponding webinars in GoToWebinar. When someone registers for an applicable event in MemberSuite, the integration will identify the matching webinar and send the necessary registration information to GoToWebinar.

That creates a more connected experience behind the scenes while allowing each platform to continue serving its intended purpose.

Creating the Connection Between Two Platforms

AMS Geek will build the integration using Data Sangria, our integration platform designed to keep data moving between association technology systems.

The one-way integration will monitor MemberSuite for new webinar registrations every 10 minutes and send registration information including the registrant’s first name, last name, email address, and the applicable event or webinar identifier to GoToWebinar.

The workflow will also be designed to prevent duplicate GoToWebinar registrations if the same MemberSuite registration is processed more than once.

The result is a workflow where staff can manage registration through MemberSuite without needing to manually recreate those registrations in another system.

Integration Is About More Than Moving Data

Connecting two platforms is not simply a matter of sending information from Point A to Point B.

For FLC, the project also requires the systems to agree on which events belong together. FLC and the implementation team will establish an event naming convention that the integration can use to determine which MemberSuite events should be included and match them to the correct webinars in GoToWebinar.

That kind of planning is an important part of a successful integration strategy.

Clear business rules, consistent processes, and thoughtful field mapping help make sure the technology supports the way an organization actually works.

Building a More Connected Technology Ecosystem

For associations and nonprofits, system sprawl does not always mean having too many platforms. Sometimes the bigger challenge is having the right platforms without a reliable way for them to communicate.

For FLC, connecting MemberSuite and GoToWebinar creates a clearer path from event registration to webinar participation while reducing the manual work required to keep both platforms aligned.

And that is ultimately what a good integration should do: make the technology less noticeable so staff can spend more time focused on the people and programs it is there to support.
