Streamlining Marketing Operations with re:Members and HubSpot
At AMS Geek, some of our favorite projects come from existing customers looking to take the next step in their technology journey.
After previously partnering with AMS Geek on technology initiatives, the Solid Waste Association of North America (SWANA) returned to implement another solution designed to strengthen the connection between their Association Management System (AMS) and marketing platform.
This time, the focus was on automating the flow of member data from re:Members into HubSpot, helping reduce manual processes and improve marketing operations.
Like many associations, SWANA relies on multiple technology platforms to support member engagement and communications. re:Members serves as the organization's AMS, while HubSpot powers marketing and outreach efforts. Keeping contact information synchronized between both platforms is essential for effective communication, reporting, and member engagement.
To help support these goals, SWANA partnered with AMS Geek to implement an automated integration using Data Sangria.
The Challenge
Many associations rely on their AMS as the source of truth for member data while using HubSpot to manage marketing campaigns, email communications, and engagement initiatives.
Without a reliable connection between systems, staff often spend valuable time manually exporting and importing data to keep contact records current.
Common challenges include:
- Manual data entry
- Duplicate records
- Outdated contact information
- Time-consuming imports and exports
- Inconsistent marketing lists
These processes not only consume staff resources but can also impact the effectiveness of marketing efforts.
The Solution
To address these challenges, AMS Geek implemented a one-way integration between re:Members and HubSpot using Data Sangria. The integration automatically synchronizes member records from re:Members into HubSpot, ensuring marketing teams always have access to current contact information.
The integration is designed to:
- Create new contacts in HubSpot when they do not already exist
- Update existing HubSpot contacts when member information changes
- Match contacts using HubSpot Contact IDs and email addresses
- Support configurable field mappings, including custom fields
- Reduce the need for manual data management
By automating these processes, SWANA can spend less time managing data and more time focusing on member engagement.
